Class & Camp Policies

Studio Expectations

We strive to create a positive, safe, and creative environment for all students.

  • Students are expected to treat others with kindness, respect, and care – including fellow artists, instructors, staff, and studio materials.

  • Students must follow the classroom expectations and guidelines provided by their teaching artist, which may vary based on age group and class structure.

  • All students are encouraged to explore, take creative risks, and approach the art-making process with an open mind.

Behavior Policy

Our goal is always to support student growth through clear communication and positive guidance. If behavioral issues arise, our team will take the following steps:

  1. Verbal reminder of class expectations

  2. Private check-in with the student

  3. Follow-up conversation with a parent or guardian

  4. Removal from class or camp if behavior is persistent, harmful, or creates an unsafe learning environment

Electronics Policy

Phones and tablets may only be used during class or camp with permission from the teaching artist and only for educational purposes, such as looking up reference images or creating digital art. Devices used for unrelated activities (texting, games, or videos) may be held by staff until the end of class. Stay Arts is not responsible for any lost or damaged electronics.

Drop-Off Policy

Our classes and camps are designed as drop-off programs to encourage participant independence, confidence, and engagement within the classroom community. Parents, guardians, family members, and caregivers are welcomed to wait in our front lobby or outside seating area during class but are not permitted inside the classroom unless prior approval has been provided by Stay Arts.

Our teaching artists will communicate with families before, during, or after class whenever necessary and will always contact a parent, guardian, or emergency contact immediately if a participant is unable to safely continue participating. Parents, guardians, and emergency contacts must remain reachable by phone throughout the duration of each class.

Arrival & Dismissal

To help ensure the safety of all of our students, we require a parent or authorized guardian to be present during our check in/out process, unless stated otherwise. Children will only be released to authorized individuals unless prior approval is given by the parent or legal guardian. Parent or guardian must keep child’s authorized persons information current and to notify Stay Arts staff of any changes as soon as possible.

  • Ages 5-12 – Participants must be checked in and checked out by a parent, guardian, or authorized adult for every class.

  • Ages 13-17 – Participants must be checked in and checked out by a parent, guardian or authorized adult on their first day of class. Independent arrival and dismissal for future classes is permitted only if authorized by a parent or guardian during registration.

Cancellations & Refunds

Please keep in mind that last minute cancellations can prevent other students from registering, especially if the class is at full capacity. Providing as much notice as possible allows us to offer the available spot to another student.

  • Camp Registration – Cancellations must be submitted at least two (2) days before the start of camp to receive a full refund. No refunds will be issued for cancellations made within two (2) days of the start date or for missed days after camp has begun.

  • Full Semester Registration – Cancellations must be submitted at least two (2) days before the start of the semester to receive a full refund. If a student needs to withdraw after the semester begins due to illness, family circumstances, scheduling changes, or another significant reason, please contact Stay Arts. Requests will be reviewed on a case-by-case basis. Approved adjustments may be issued as class credit or cancellation of future scheduled payments. Tuition for classes that have already taken place is non-refundable.

  • After the First Class – If your student attends their first class and you determine that the program is not the right fit, please contact Stay Arts within 48 hours. We can help explore another Stay Studio class or review your enrollment or cancellation options.

  • Installment & Monthly Pricing – Installment and monthly payment options are payment plans for full-semester enrollment and are not month-to-month memberships. By selecting a payment plan, families are committing to the full semester. If circumstances change and your student is unable to continue, please contact Stay Arts. Any adjustment to remaining scheduled payments must be approved by Stay Arts and is not automatic upon withdrawal.

  • 4 Class Pack – Cancellation or transfer requests must be submitted at least 24 hours before class. Eligible registrations may be transferred to another available class date. Same-day cancellations made within 24 hours of class, and no-shows are not eligible for a refund or class transfer.

  • Drop-Ins – Cancellation or transfer requests submitted at least 24 hours before class are eligible for a full refund or transfer to another available class date. Same-day cancellations, cancellations made within 24 hours of class, and no-shows are not eligible for a refund or class transfer.

  • Illness & Emergencies – We understand that illness, emergencies, or unexpected circumstances may affect a student’s ability to attend or complete a program. Requests that fall outside the standard policies may be considered on a case-by-case basis. When approved, refunds outside the standard cancellation period may be issued as class credit or another appropriate adjustment at the discretion of Stay Arts. Class Transfer Policy

We understand that schedules can change. Requests to transfer to another class or camp may be considered based on availability and whether the requested program is an appropriate fit. Transfer requests must be submitted before the start of the class or camp. Transfers cannot be provided retroactively or for no-shows. Minimum Enrollment Disclaimer

All classes and camps require a minimum number of students to run. If a program does not meet the required enrollment, Stay Arts reserves the right to cancel or combine classes. In the event of a cancellation, families will be notified at least 24 hours in advance and offered the option of a full refund, class credit, or transfer to a different session.

Scholarships

  • Commitment to Participate – Scholarships are awarded with the expectation that students will participate in the full class, semester, or camp for which funding is provided. Before accepting a scholarship, families should make sure they are able to commit to the program schedule

  • Attendance – Scholarship spaces are limited. Repeated absences, no-shows, or accepting a scholarship and not attending may prevent another student from receiving financial assistance and may be considered when reviewing future scholarship requests. If your student is unable to participate, please notify Stay Arts before the program begins whenever possible. Early notice allows us to offer the scholarship to another student or family.

  • Illness & Emergencies – We understand that illness and emergencies happen. Please contact Stay Arts as soon as possible if your student’s circumstances change so we can offer the scholarship to another student.

Health & Illness

As with any shared public space, participation in in-person programs may involve exposure to communicable illnesses, including COVID-19, flu, and other contagious illnesses. Stay Arts is committed to maintaining a healthy and welcoming environment for students, families, and staff.

  • Illness – Students should stay home if they are experiencing a fever, vomiting, or symptoms of a contagious illness that may put others at risk. If a student becomes ill during class or is unable to participate safely due to symptoms of illness, Stay Arts may contact their parent or caregiver and request that they be picked up early.

  • Masks & Hand Sanitizer – Face masks are welcome and encouraged for individuals who are at higher risk of illness or who prefer an additional layer of protection. Disposable face masks and hand sanitizer are available at Stay Studio.

  • Outbreaks & Notifications – If Stay Arts becomes aware of multiple confirmed or suspected cases of a communicable illness associated with a program, we will take appropriate precautions based on current public health guidance. Families and staff who may have been affected will be notified when appropriate, while protecting the privacy of individuals involved.

  • Additional Precautions – Stay Arts may implement additional health precautions, program modifications, or temporary class cancellations when necessary and will consult with public health authorities when required or appropriate.

  • Illness-Related Cancellations – If illness affects a student’s ability to attend or complete a program, please contact Stay Arts. Illness-related cancellations and enrollment adjustments may be considered in accordance with our Cancellation & Refund Policy.

Photo Release

Stay Arts may photograph or record classes for promotional purposes, including but not limited to, flyers, brochures, websites, social media, and advertisements. By participating, parents or guardians grant us permission to use photographs, videos or recordings of their child for these purposes.

Liability Waiver

While we take every precaution to ensure the safety of our students, participation in our classes and camps may involve inherent risks. Parents and guardians agree to release, waive and hold harmless Stay Arts and our organization, its staff, volunteers, or affiliates from all liability, claims, penalties, costs, losses, damages, expenses or judgments resulting from illness, injury, death or damage from participation in our classes and camps. These terms of service are governed by the laws of California. Any disputes arising from or relating to these terms shall be resolved through arbitration in accordance with the rules of California
